Identify what is genuinely urgent
State the required product, current inventory, receiving location and requested date. Distinguish an operating interruption from a planned replenishment that has become late. Give the supplier the known constraints without describing an estimated consumption as a verified stock-out time.
Ask for confirmation of availability of the exact approved code and package. A statement that PAM is in stock does not establish the grade, quantity, lot evidence or dispatch arrangement needed for your plant.
Review any proposed alternative explicitly
If the approved code cannot be offered, identify the substitute as a new proposal. Ask how its supplied form, preparation and relevant properties differ. Do not let a similar trade name or molecular-weight range become an unsupported equivalence claim.
Use cross-reference checks and second-source limits to decide what evidence is still necessary. A procurement deadline does not turn an untested product into an approved replacement.
Check the practical first-use route
Confirm that available preparation equipment and water can handle the proposed material. Keep product-specific instructions and actual delivery capability in view. An alternative that requires an unavailable activation step may not solve the immediate interruption.
Where a bounded comparison is appropriate, define responsibility, stopping conditions and a fallback under plant controls. Avoid changing multiple operating variables at once and attributing any recovery to the urgently purchased product.
Confirm the complete shipment
Record the actual accepted quantity, code, package, document list and delivery boundary. Keep requested and confirmed dates distinct. Do not issue a claim of guaranteed dispatch merely because a preliminary technical conversation was positive.
Preserve the supplier response and any limited approval with the order record. After the urgent event, review inventory and call-off assumptions so an exceptional substitution does not silently become the permanent purchasing baseline.
Purchasing evidence to keep
| Approval point | Record needed |
|---|---|
| Availability | Exact approved code, quantity, package and order-specific schedule are confirmed. |
| Alternative | Substitution remains a separate technical decision with explicit limits. |
| Closeout | Actual shipment and any exception are retained without rewriting the normal approval baseline. |
