Identify what is being priced
State the qualified product code or the evidence needed to select a sample candidate. Include supplied form, quantity and requested packaging. Mark alternative grades explicitly so a commercial offer cannot silently replace the tested material with an unqualified product.
Distinguish a sample request, first order and forecast for repeated supply. Ask the manufacturer to confirm actual availability and schedule for the proposed arrangement rather than treating a catalogue entry as a dispatch commitment.
Name the delivery boundary
Specify the location relevant to the requested commercial term and ask the quotation to repeat it. Record currency, validity and included stages. Identify excluded freight, handling or other charges where they fall outside the offer.
Use the responsible logistics and import advisers to verify destination-specific requirements. Do not assign a universal customs classification or transport status merely from the PAM family name; the supplied product and transaction need their own review.
List documents by purpose
Separate technical acceptance evidence from commercial and shipment paperwork. Ask for the relevant technical revision, current SDS and delivered-lot certificate, plus the documents required for the order. Specify a required issuer or format before confirmation if it matters.
Use batch release checks for product acceptance. A document list should identify who provides each item rather than simply requesting every possible certificate without an explained requirement.
Close the comparison gaps
Record every unresolved code, excluded stage and unconfirmed document beside the price. Request clarification before selecting an offer. A lower ton price with a different delivery boundary may not be the lower-cost order.
Connect accepted treatment cost with the supply record. Confirm schedule needs in writing and retain them as requested dates until the supplier and delivery arrangement explicitly accept them.
Purchasing evidence to keep
