Identify the material and the event
Provide manufacturer code, lot reference, delivery information and the location of the questioned material. State when the issue was first observed and whether it affects unopened packages, preparation or treatment performance. Preserve relevant labels and photographs.
Follow the product SDS and plant procedure for damaged material, spills or a condition that may require isolation. A commercial enquiry should not substitute for the plant's immediate handling and safety controls.
Describe the observation without assuming cause
Report what changed: appearance, dispersion, stock consistency, consumption, capture or another measured endpoint. Distinguish a direct observation from a proposed explanation. A higher dose requirement alone does not prove a manufacturing fault.
Record feed, water, upstream chemistry and equipment changes around the event. Include the preparation quantities and actual delivery basis. Missing operating context can cause both buyer and manufacturer to pursue the wrong investigation.
Provide a comparable reference
Identify the previous material or retained sample and state its condition. Use the same defined method when making a comparison. A result from a different feed event or a reference stored under unknown conditions needs a qualification.
The retained-sample guide and test-result review help make that comparison useful. Keep raw observations available rather than supplying only a final pass or fail statement.
Ask for an explicit response
State the decision currently needed: document clarification, preparation review, additional analysis or a commercial discussion. Agree who will provide the next evidence and how it will be reviewed. Do not assume a universal investigation deadline or remedy.
