Separate sample demand from the production MOQ
Ask the manufacturer to confirm available sample quantities and the commercial minimum for the proposed code and package. These may be different arrangements. Do not infer a minimum order from another product family, supplier or old quotation.
State whether the request supports bench screening, preparation-system verification or an equipment trial. A small sample sufficient for several beakers may not supply a full make-down cycle or a useful observation period at the plant.
Calculate the material requirement
List candidates, preparation batches, dose points and planned repetitions. Calculate powder or supplied-liquid demand on the stated concentration basis. Include justified preparation losses and a retained reference without disguising an arbitrary stock buffer as a test requirement.
Use the operating schedule and usable-stock volume for equipment trials. Confirm that the chosen quantity can reach the application point after preparation and transfer, rather than ending the comparison before representative material reaches the separator.
Agree the progression rule
Define the result needed to advance from screening to a bounded first order. Include the required liquid and solids outcomes and identify a stopping condition. A favorable-looking sample should not become an unlimited supply approval without the planned evidence.
Keep current-product controls and feed identity visible. The second-source plan preserves separate manufacturer records when continuity is the reason for adding a candidate.
Connect quantity with handling
Check suitable storage and how partly used containers will remain identified. Follow product-specific guidance for retaining material; no universal opened-package life can be assumed. A large discounted trial order can create more handling exposure than the decision requires.
Use retained-sample management and preparation-capacity review to balance repeat testing with practical stock use. Confirm the eventual bulk terms only after the chosen grade is qualified.
Purchasing evidence to keep
| Approval point | Record needed |
|---|---|
| Purpose | Bench, preparation-system or equipment decision defines what the quantity must support. |
| Calculation | Batches, repetitions, delivery demand and retained reference justify the requested mass. |
| Supply gate | Sample arrangement and commercial MOQ are separately confirmed for the actual code. |
