Set the audit purpose
Identify the manufacturer, proposed grade and application being reviewed. Decide which purchasing questions require evidence and which can be resolved through documents or a technical meeting. Agree access and confidentiality before requesting records.
Do not present the review as an independent certification unless a qualified party is actually providing that service. A buyer’s audit, remote discussion and accredited certification are different activities with different scopes.
Trace the product identity
Ask how the supplied sample code connects with the production code, relevant specification and lot identification. Follow an agreed example through release and dispatch records where access is permitted. Preserve what was actually reviewed and what remains pending.
A warehouse image or a factory sign cannot by itself establish capacity, ownership or batch consistency. Request evidence appropriate to a claim that matters rather than assigning a favorable conclusion from presentation alone.
Check the release and change pathways
Review how agreed acceptance methods and document revisions are controlled for the proposed material. Ask who authorizes release and how a disputed result is handled. Keep a typical technical value separate from a batch measurement or contractual limit.
Use the certificate review and change-control questions to test whether the information supplied can support actual repeat-order decisions. Avoid requesting proprietary detail unrelated to that purpose.
Keep findings proportional to evidence
Record each question, evidence seen, limitation and next action. Distinguish an observation from an explanation supplied verbally. A useful report can contain pending questions; it should not convert unavailable evidence into either an unsupported pass or a proven defect.
Connect the findings with the remote meeting record and the qualification sequence. Decide whether to proceed to sampling or another review without claiming that an audit alone proves application performance.
Purchasing evidence to keep
| Approval point | Record needed |
|---|---|
| Scope | Named organization, proposed grade and purchasing questions define the review. |
| Trace | Sample, specification, release and shipment identities can be followed with stated limitations. |
| Finding | Evidence, verbal explanations and unresolved actions remain distinguishable. |
